Privacy policy
Last updated November 5, 2026
This policy explains, in plain language, what personal information we collect through standupnow.com and our programs, why we collect it, and the choices you have. If anything is unclear, email us at [email protected].
Who we are
SUN Circles is a membership program run by Factor X Solutions Inc., an Alberta corporation. In this policy, “we”, “us” and “our” mean Factor X Solutions Inc.
Privacy contact: Kim Hoyer, Founder. [email protected]. Mailing address: Factor X Solutions Inc., 12 Simcoe Link SW, Calgary, AB T3H 4N2.
The laws we follow
We follow Alberta’s Personal Information Protection Act (PIPA), which applies to private organizations in Alberta. Where federal law applies, for example when information crosses provincial or national borders in the course of business, we also follow the Personal Information Protection and Electronic Documents Act (PIPEDA). Our emails follow Canada’s Anti-Spam Legislation (CASL).
What we collect
Information you give us, when you sign up for the newsletter or Stand Up 90, book a call, register for a program, join as a member or email us:
- your name, email address and phone number
- your organization, your role and the size of your organization
- what you tell us about your business and what you would like help with
- the time you choose when you book a call
- for members, the billing details needed to bill you for your membership
Information collected automatically when you visit the site:
- anonymous, aggregated visit statistics such as pages viewed, the site that referred you, your country and your device type (see “Analytics and cookies” below)
We do not collect sensitive information such as health or financial account details through this website, and we ask that you do not send it to us.
Why we use it
We use your information to:
- reply to your questions and book calls with our team
- place you in a Mastermind circle for your free test drive, and in circles as a member
- run the programs you sign up for, and bill members
- send you the newsletter, only if you have asked for it
- understand which pages and links are useful, so we can improve the site
We use your information only for the purpose you gave it to us for, or for a closely related purpose you would reasonably expect. We never sell or rent your personal information.
Your consent
When you sign up, book a call or register, you consent to us using your information for that purpose. You can withdraw your consent at any time by emailing us. If you do, we will tell you if it affects what we can do for you, for example if we can no longer hold your spot in a circle.
Email and the newsletter (CASL)
- We only send our newsletter and other marketing emails to people who have asked for them, for example by entering their email address in our newsletter sign-up.
- Every marketing email identifies us, includes our contact information and has an unsubscribe link.
- If you unsubscribe, we stop within 10 business days, usually right away.
- We keep a record of when and how you gave consent.
We may still send you messages you need, such as a confirmation of your booking, a program schedule or a membership receipt.
Analytics and cookies
- Cloudflare. Cloudflare hosts this website and processes visit data, such as your IP address and the pages you request, to deliver the site and keep it secure.
- HubSpot. We use HubSpot’s tracking code. HubSpot sets cookies (such as
__hstc,hubspotutk,__hsscand__hssrc) that count visits and, once you are in our contact records, connect the pages you visit to your contact record. This helps us understand what is useful to you. - Your choice. When you first visit, a short notice lets you choose. “No thanks” tells HubSpot not to track your browser. You can change your mind any time with the “Cookie settings” link at the bottom of every page.
- You can also block or delete cookies in your browser settings. The site works without them.
- We remember your country (only to show prices in the right currency) and your cookie choice in your browser’s local storage. This stays on your device.
Who we share it with
We share personal information only with service providers who help us run SUN Circles, and only what they need to do their job:
| Provider | What they do for us | Where data is stored |
|---|---|---|
| HubSpot, Inc. | Contact records and visit statistics | United States |
| MailerLite | The newsletter and Stand Up 90 sign-ups and emails | As set out in MailerLite’s privacy policy |
| bookme.name | Booking calls with our team | As set out in bookme’s privacy policy |
| Cloudflare, Inc. | Website hosting, security and visit statistics | Global network, United States based |
Facilitators and circle leads who run your circles see your name, organization and contact details so they can run sessions. They are bound by confidentiality.
Some of our providers store information outside Canada, mainly in the United States. While it is there, it is subject to the laws of that country and may be accessed by its courts, law enforcement or national security authorities. We choose providers with strong security and privacy commitments.
We may also disclose information when the law requires it.
Confidentiality in circles
What members share in a circle stays in the circle. Confidentiality between members is part of every circle’s ground rules and of the membership agreement every member accepts when they join.
How long we keep it
We keep personal information only as long as we need it for the purpose it was collected, or as the law requires (for example, financial records for tax purposes). If you ask for information about SUN Circles and do not go on to join, we keep your contact details for up to two years unless you ask us to delete them sooner.
How we protect it
We use reputable providers with encryption, two-factor authentication on our accounts and access limited to the people who need it. No system is perfectly secure, so if a breach ever puts you at real risk of significant harm, we will tell you and report it as the law requires.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Email [email protected]. We will respond within 30 days.
Children
Our programs are for adults running businesses and organizations. The site is not intended for anyone under 18, and we do not knowingly collect information from them.
Questions and complaints
Please contact us first and we will do our best to put it right. If you are not satisfied, you can contact the Office of the Information and Privacy Commissioner of Alberta or, where federal law applies, the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy as our programs and tools change. We will post the new version here with the date it was updated.
